Search "POS cost" and you'll find answers ranging from "free" to "$25,000". Both are defensible, because the question is underspecified. A POS bill isn't one price — it's four to six separate charges, only two of which appear on a pricing page. This guide prices each line against vendor pages we read today, then assembles them into three budgets you can copy.
Short Answer: Three Numbers to Hold Onto
- Software: $0–$149 per location per month on the systems we track (Square Free $0 → Square Premium $149; Lightspeed $89–$289; Shopify POS Pro +$89 on top of an ecommerce plan; Clover $16–$104.90). Month-to-month billing costs 15–25% more than annual on Lightspeed.
- Hardware: $49–$899 one-time per register. A card reader is a two-figure purchase; a proper countertop register is four figures; Clover's Station Duo bundle is $1,899.
- Processing: 2.3%–2.6% + 10–15¢ on every card sale in person. At $30,000/month that is $790–$930 per month — more in a year than the software, hardware, apps and setup combined.
The corollary: choosing a POS on subscription price is choosing the wrong variable. On our $30k/month example the eight setups land within about $3,200 of each other — and hardware terms plus processing rates, not the monthly fee, account for roughly two-thirds of that spread.
The Six Cost Components (Only Two Are Advertised)
| Component | Typical 2026 range | Who sets it | Where it bites |
|---|---|---|---|
| Software subscription | $0–$289/mo per location | Vendor, published | Feature gates: inventory, purchase orders and staff permissions are the usual paywalls |
| Hardware | $49–$1,899 one-time per register | Vendor, published | Readers from another system never carry over; tablets are the only reusable part |
| Payment processing | 2.3%–3.5% + 8–30¢ | Vendor or reseller quote | Runs 8–10× an $89–$116 monthly subscription at $30k of card sales; keyed and online rates are 0.9–1.2 points higher |
| Setup & onboarding | $0–$500 (reseller-quoted) | Reseller / sales rep | Clover-style channel sales and Lightspeed "professional service options" are quoted, not listed |
| Add-ons & apps | $0–$100/mo | Vendor or app store | Loyalty, bookings, accounting connectors and per-device kiosk software |
| Exit / contract cost | $0–$2,000+ | Contract terms | 36-month terms, early-termination fees and hardware leases; month-to-month vendors avoid this line |
Ranges from vendor pages checked 2026-10-29 (Square, Clover, Lightspeed), 2026-10-22 for Shopify and Helcim, and 2026-10-15 for SumUp. Setup, add-on and exit ranges are directional — they're quoted, not published, so treat them as questions to ask rather than numbers to budget sight-unseen.
Software: What Each Plan Actually Costs
| Vendor / plan | Monthly price | Annual-billing price | What the tier buys you |
|---|---|---|---|
| Square Free | $0 | $0 | POS + Square Online; no inventory tracking, POs or barcode labels |
| Square Plus | $49 per location | $49 | Inventory tracking, purchase orders, barcode labels, loyalty, staff permissions |
| Square Premium | $149 per location | $149 | PO import, transfer orders, 2.4% in-person rate, 0% gift-card load, 24/7 phone support |
| Shopify Basic (POS Lite included) | $27 | $20 | Online store + basic in-person selling; card rates lowest of the three Shopify tiers |
| Shopify + POS Pro | +$89 per location | +$89 | Staff roles and permissions, inventory features, cross-location returns, flexible pickup/delivery |
| Lightspeed Retail Basic | $109 | $89 | 1 register included; full retail inventory; +$59/mo per extra register |
| Lightspeed Core | $179 | $149 | Adds loyalty, advanced reports, Mobile Scanner app, landed costs |
| Lightspeed Plus | $339 | $289 | Adds forecasting/Insights, API access, Workflows, custom roles, 24/7 phone support |
| Clover Starter (Compact) | $16 on a 36-month term | or $349 one-time | Payments, basic reporting; item and category management is not included |
| Clover Retail Growth (Station Duo) | $180 all-in on 36 months | or $1,899 + $84.95/mo | Full retail inventory, discounts, itemized returns, gift cards, scale integration |
| SumUp Standard / POS Plus | $0 / $49 | $0 / $49 | Payments only; POS Plus adds inventory and team features |
| Helcim | $0 | $0 | Free POS software with items, variants, stock levels; no contract, no monthly fee |
Square, Clover and Lightspeed figures read from official pricing pages 2026-10-29 (Lightspeed's monthly column from the same page's "Monthly" toggle). Shopify figures from the official pricing page as last read 2026-10-22 — today Shopify served regionalised non-USD pricing from our location, so we have not re-confirmed the USD numbers today and carry the last verified values. Helcim 2026-10-22, SumUp 2026-10-15.
Two patterns worth noticing. Lightspeed is the only vendor here whose cheapest useful plan starts at $89 — there is no free tier, so a POS that deep into inventory is a commitment, not a trial. And Clover's "$16/mo" headline buys you a payment terminal, not a retail back office: its own feature matrix marks item and category management Not Included on Starter, so a store that needs stock tracking is really shopping the $84.95 Retail Growth tier.
Hardware: The One-Time Line People Forget
| Device | Price (official) | Financing shown | Checked |
|---|---|---|---|
| Square Reader for contactless and chip | $59 | — | 2026-10-29 |
| Square Stand (iPad POS) | $149 | $14/mo × 12 | 2026-10-29 |
| Square Terminal (all-in-one with printer) | $299 | $27/mo × 12 | 2026-10-29 |
| Square Handheld | $399 | $37/mo × 12 | 2026-10-29 |
| Square Register, 2nd generation | $899 | $44/mo × 24 | 2026-10-29 |
| Square Kiosk (incl. counter stand) | $1,999 | app requires Plus/Premium + per-device fee | 2026-10-29 |
| Clover Compact terminal (Starter bundle) | $349 | or included in $16/mo × 36 | 2026-10-29 |
| Clover Station Duo (Retail Growth bundle) | $1,899 | or $180/mo × 36 all-in | 2026-10-29 |
| Clover Station Duo + Flex (Advanced bundle) | $2,648 | or $240/mo × 36 all-in | 2026-10-29 |
| Shopify Tap & Chip reader | $49 | — | 2026-08-08 |
| Shopify POS Terminal | $349 | — | 2026-08-08 |
| Shopify POS Go (handheld with scanner) | $399 | — | 2026-08-08 |
| Shopify Retail Stand Kit | ~$219 | — | 2026-08-08 (third-party corroborated) |
| SumUp Solo / Terminal / POS Lite bundle | $99 / $249 / $499 | free shipping, 30-day returns | 2026-10-15 |
| Helcim Card Reader / Smart Terminal | $199 / $349 | $32/mo × 12 (terminal) | 2026-10-22 |
| Lightspeed single-register setup | ~$500–$2,000 | iPad/stand/printer/scanner, BYO tablet | independent estimates, 2026-08 |
Cash drawers, receipt printers, barcode scanners and label printers sit on top: roughly $100–$400 each on Square and Shopify accessory pages, and Not Included in the Clover Starter bundle (its drawer is a paid add-on, while the Duo bundles include one). Square's financing footnote is worth reading before you "spread the cost": plans are issued by Block, Inc., run 3–24 months at 15% APR, and aren't offered in AL, DE, MO, MS, NH or TN — which is why the $899 Register shows as $44/mo (a $1,056 total, about $157 over the sticker price).
Processing: The Line That Dominates Year One
Every vendor we track charges in-person card rates between 2.3% and 2.6% plus 8–15¢. Those look interchangeable until you multiply them by your volume. In-person rates checked 2026-10-29: Square 2.6/2.5/2.4% + 15¢ by plan; Clover 2.6% + 10¢ (Starter) and 2.3% + 10¢ (Retail Growth); Lightspeed 2.6% + 10¢ on all three tiers; SumUp 2.6% + 10¢ flat; Helcim interchange + 0.40% + 8¢; Shopify's card-present percentage is not published in a crawler-readable form (our working range is ~2.4–2.7%, corroborated by independent sources on 2026-10-22).
Because processing is the largest component, it deserves its own deep dive: read how credit card processing fees work for the interchange-plus-markup breakdown, what a merchant statement actually says, and the nine levers that move your effective rate.
Three Real Budgets, Computed
We built these from the prices above. Assumptions are stated each time; all sales are card-present, and hardware is counted once in year one.
Scenario A — Market stall / pop-up: $6,000 a month, 300 sales ($20 average ticket)
| Setup | Software/mo | Hardware | Rate | Processing/mo | Year 1 |
|---|---|---|---|---|---|
| Helcim + Card Reader ($199) | $0 | $199 | IC+ 0.40% + 8¢ | $156 | $2,071 |
| Shopify Basic + POS Lite + reader | $27 | $49 | ~2.6% flat | $156 | $2,245 |
| SumUp Standard + Solo reader | $0 | $99 | 2.6% + 10¢ | $186 | $2,331 |
| Clover Starter ($16/mo × 36, Compact included) | $16 | $0 | 2.6% + 10¢ | $186 | $2,424 |
| Square Free + contactless reader | $0 | $59 | 2.6% + 15¢ | $201 | $2,471 |
Helcim row assumes 1.80% blended interchange (its published markup is 0.40% + 8¢ at this volume). Shopify row uses ~2.6% because the card-present rate isn't published. Clover's $16/mo requires a 36-month term — the same hardware bought outright is $349, and the "year 1" figure only counts 12 payments while you're locked in for 36.
At this size the whole market is within about $400 of each other, and the decision should be made on software behaviour, not cost: if you sell one-of-a-kind items, the $0 plans' lack of inventory tracking matters more than $15 a month in rate differences. Our ranking for this profile is in Best POS for Small Retail Businesses, and the $0 options are compared in Best Free POS for Retail.
Scenario B — Single store: $30,000 a month, 1,000 sales ($30 average ticket)
| Setup | Software/mo | Hardware | Rate | Processing/mo | Year 1 |
|---|---|---|---|---|---|
| Helcim + Smart Terminal ($349) | $0 | $349 | IC 1.80% + 0.40% + 8¢ | $740 | $9,229 |
| Shopify Basic + POS Pro, annual billing | $109 | $349 | ~2.6% flat | $780 | $11,017 |
| Square Free + Terminal ($299) | $0 | $299 | 2.6% + 15¢ | $930 | $11,459 |
| Clover Retail Growth ($180/mo × 36 all-in) | $180 | $0 | 2.3% + 10¢ | $790 | $11,640 |
| SumUp POS Plus + POS Lite bundle ($499) | $49 | $499 | 2.6% + 10¢ | $880 | $11,647 |
| Square Plus + Terminal ($299) | $49 | $299 | 2.5% + 15¢ | $900 | $11,687 |
| Lightspeed Basic + peripherals (~$500) | $89 | $500 | 2.6% + 10¢ | $880 | $12,128 |
| Clover Retail Growth ($1,899 hardware + $84.95/mo) | $85 | $1,899 | 2.3% + 10¢ | $790 | $12,398 |
Same assumptions as Scenario A; Shopify = $20/mo annual billing + $89 POS Pro; Lightspeed hardware is a third-party estimate for a complete single register, not an official price; processing is 12× the monthly figure with no card-on-file or online sales mixed in.
Read the spread, not the winner. Eight setups that look wildly different on their price pages land inside a $3,200 band for the year — and $8,880–$11,160 of each one is processing. Helcim's lead is real but interchange-dependent: at 1.40% blended interchange its year falls to $7,789, at 2.20% it rises to $10,669 — still the lowest row in the table, but only $348 ahead of the Shopify bundle rather than $1,788. The Clover rows show the other classic trade: buying the $1,899 hardware outright costs $758 more in year one than financing it inside a 36-month subscription — and then you own it instead of owing 24 more months.
Scenario C — Three locations: $150,000 a month, 4,500 sales
| Setup (3 locations) | Software/mo | Hardware | Rate | Processing/mo | Year 1 |
|---|---|---|---|---|---|
| Shopify Basic + POS Pro × 3, annual billing | $327 | $1,047 | ~2.6% flat | $3,900 | $51,771 |
| Clover Retail Growth × 3 ($84.95 + $1,899 each) | $255 | $5,697 | 2.3% + 10¢ | $3,900 | $55,555 |
| Lightspeed Basic × 3 (+$59/register beyond the first) | $267 | $1,500 | 2.6% + 10¢ | $4,350 | $56,904 |
| Square Premium × 3 | $447 | $897 | 2.4% + 15¢ | $4,275 | $57,561 |
One register per location, third-party hardware estimates for Lightspeed, Shopify card-present assumption as above. Lightspeed's own pricing page includes 1 register per tier and we verified the +$59 per-register fee on 2026-10-22; multi-location pricing otherwise requires a quote.
At this volume a 0.2-point rate difference is worth $3,600 a year, which is why three-location operators should stop reading pricing pages and start requesting quotes — including interchange-plus quotes from third-party processors. Our multi-location ranking covers the operational side: Best POS for Multi-Location Retail.
Where to Start, by Budget
Under $3,000 for year one: a $0-subscription POS plus a $49–$199 reader. Square Free is the most complete of these because the free tier still includes an online store; Helcim is cheaper per transaction but has the thinnest retail back office. Read the Square review or see Square's published pricing →
$9,000–$12,500 for year one, one store: decide what you're buying — inventory depth or rate savings. Lightspeed is the inventory answer at $89/mo (official pricing page →); Helcim is the rate answer at $0/mo (official pricing page →), and the difference between them is $2,900 a year on our Scenario B model.
Selling online as well as in store: bundling usually beats bolting on. Shopify POS Lite comes with the plan, POS Pro adds $89/mo per location, and skipping Shopify Payments costs 2.0%/1.0%/0.6% per sale — which changes the maths. Read the Shopify POS review or start with Shopify →
Happy to sign a 36-month bundle to own a good countertop terminal: Clover's all-in monthly prices are the clearest hardware-financing model we checked today (official retail pricing →) — just put the termination clause above the price when you read the quote.
Fees That Don't Appear in the Brochure
- Monthly minimum. Many processing agreements bill a minimum fee if your percentage falls short. Square's published pricing and fee pages list no monthly minimum (2026-10-29); traditional merchant agreements commonly include one — ask explicitly.
- PCI compliance / statement fees. Some processors bill $10–$30/mo for compliance support and printed statements. Square states on its fee page that PCI compliance support carries no fee; reseller agreements commonly differ.
- Chargeback / dispute fees. Typically $15–$25 per dispute. Helcim publishes $15 (and $0 if you win); Square lists dispute handling under "no fees"; Clover quotes come from the reseller.
- Instant-funds fees. Clover's Rapid Deposit costs 1.75% of the deposited amount — $525 a month on $30,000 of card sales, which is more than the entire Lightspeed subscription.
- Per-device software. Square's Kiosk app requires Plus or Premium and a per-device monthly software fee; that turns a $1,999 purchase into a recurring line.
- Extra registers and locations. Lightspeed's first register is included and each additional one is +$59/mo; Square bills per location; Shopify bills POS Pro per location.
- Third-party gateway tax. Shopify adds 2.0% (Basic), 1.0% (Grow) or 0.6% (Advanced) on every sale if you don't use Shopify Payments — usually more than any processor discount could recover.
- Lease vs buy. A $150/mo × 48-month terminal lease is $7,200 against roughly $1,800 to own comparable hardware.
- Early-termination fees. Common in 36-month reseller contracts, quoted at $500–$2,000+; Square and Helcim publish no contract or termination fees.
- App subscriptions. Loyalty, bookings, accounting and advanced reporting often live outside the base plan at $10–$100/mo each.
Billing Terms Change the Total More Than the Sticker Price
- Annual vs monthly. Lightspeed's discount is the clearest published one: $89/$149/$289 on annual billing versus $109/$179/$339 monthly — its own pricing toggle calls it "save up to 18%", which is $240–$600 a year per location for the right to cancel.
- Hardware inside the term. Clover's $16, $180 and $240 all-in monthly prices are 36-month commitments; the same bundles bought online are $349, $1,899 and $2,648 plus software.
- Trial structure. Square gives 30 days on Plus and Premium; Shopify advertises 3 days free then $1/month for 3 months; Lightspeed offers a trial but doesn't state a length on the pricing page; Clover's retail bundles have no online trial, with a $450 statement-credit hardware offer running to December 31, 2026.
- Financing. Square's device plans run 3–24 months at 15% APR; Helcim's Smart Terminal can be $32/mo × 12 ($384) against $349 outright.
Ten Ways to Pay Less Without Paying for Fewer Features
- Price the year, not the month — divide the totals above by 12 and compare those.
- Use your own tablet first: $0 hardware beats $299 hardware while you're validating the concept.
- Buy the register outright if you'll keep it past 36 months; finance only if cash flow is genuinely tight.
- Match the plan to the features you'll use in month three, not month thirty — several tiers here exist to sell you inventory tools you may not need yet.
- Ask for interchange-plus at $20k+/month and compare it to the flat rate on your own mix (see the processing-fee guide).
- Dip or tap, don't key: Clover's keyed rate is 3.5% + 10¢ against 2.3% + 10¢ in person.
- Take bank transfers for large invoices — Square's ACH is 1% with a $1 minimum against 3.3% + 30¢ online.
- Decline instant funding unless you need same-day cash; 1.75% is the most expensive "feature" on this list.
- Bundle online + in-store on one platform before paying for a sync app.
- Get two quotes on any resold system (Clover-style channel sales) and read the termination clause before the price.
FAQ
What is the average cost of a retail POS system?
For a single store doing about $30,000 a month in card sales, our eight computed setups land between $9,229 and $12,398 in year one — roughly $770–$1,030 a month all-in. Software is $0–$180 of that monthly figure; processing is $740–$930.
Is there a genuinely free POS?
Square Free is the only true $0 option among the systems we track: no monthly fee, no activation fee, no dispute or PCI-compliance fee on its published terms, and the rate is the same 2.6% + 15¢ whether you pay $0 or $149 for software. Shopify POS Lite is included but requires a paid Shopify plan from $20/mo (annual billing, last verified 2026-10-22), and Clover's cheapest bundle still costs $16/mo on a 36-month term. See Best Free POS for Retail.
How much should I budget for hardware?
$49–$99 if you'll use a phone or tablet you already own, $149–$399 for a stand or terminal, and $899–$1,899 for a countertop register or a full bundle. Add $100–$400 each for a drawer, printer or scanner if the bundle doesn't include them.
Why is processing more expensive than the software?
Because it's a percentage of everything you sell, every day, while software is a flat subscription. At 2.6% on $30,000/month you pay about $780 monthly — around 9× a $89 plan. It's also the only line you can negotiate: see credit card processing fees explained.
Do I still pay for POS software if I already have a card reader?
Readers rarely transfer between systems — each platform requires its own approved payment devices. If you're moving from one ecosystem to another, budget for new hardware at the prices above rather than assuming compatibility.
What does a POS cost for a market stall or one-day event?
Our Scenario A answer: about $2,071–$2,471 for a year at $6,000/month in sales, or roughly $170–$210 a month. If you sell intermittently, the same setups cost only the per-transaction fee in months where you don't trade — which is why $0-subscription products win at that size.
Square pricing, hardware and fee pages, Clover's retail pricing page and Lightspeed's retail pricing page were read on 2026-10-29. Shopify's USD prices could not be re-read today — Shopify geo-served regionalised (non-USD) pricing from our location — so Shopify figures carry the last official verification date, 2026-10-22, and its card-present percentage remains a corroborated estimate rather than a published rate. Helcim was checked 2026-10-22, SumUp 2026-10-15, Shopify hardware 2026-08-08. Budget tables were computed from these inputs (volume × rate + transactions × fixed fee + 12 × software + hardware); rows marked "~" are estimates to confirm with the vendor. Scoring and hedging rules are in our methodology.
